Roles and Responsibility

OBJECTIVES:

 

  1. Maintenance and Infrastructure upkeep of Office
  • Day to day maintenance of office furniture, office equipment, AC in server room & UPS Room, CCTV etc.
  • Space planning, seat allocation and tagging
  • 100% Facility upkeeps Physical infra, housekeeping, general administration, critical equipment maintenance.
  • Handling Access Control, Biometric, CCTV and activities and reports related to the same
  • Active participation in new office set up and shifting from old office.

 

  1. Vendor Management and Billing:
  • Coordination with all admin vendors, office landlord, materials suppliers, services providers (Newspaper & Magazine, Plants, Stationery Items,
  • Keeping track of Cafeteria consumable Items,
  • Keeping track of House Keeping Items,
  • Supervising and keeping tab of Security, House-keeping, Refilling of cartridges etc.),
  • Kolkata Vendor’s billing and payments (we have to clear all invoices as per TAT and payment should be released as per defined timeline)
  • Ensure that there is no delay in any vendor’s payment
  • Vendor management / Monitoring of Vendor's SLA  / periodical vendor  meet with the vendor
  • Checking of Vendor Bills and related follow ups.
  • Tracking of admin vendor payment and communication.

 

  1. Audits & Compliance :
  • Comply to ISO, IMS audit requirement and controls. (All HR and company compliance files are maintaining tracking by me)
  • Monthly Access Reconciliation.
  • Risk assessment record updation and monthly compliance audit
  • Interaction with Risk team and close all open points related to Kolkata Risk audit

 

  1. General Administration
  • Maintain Material outgoing and incoming register.
  • Cleanness and hygiene of office maintain.
  • Replenishment of refreshments for Employees.
  • Maintaining Security and House Keeping personnel attendance records.
  • Maintaining petty cash record.
  • Maintaining stationery items and stock registers.
  • Monthly office assets reconciliation.
  • Reporting all admin related reports to the reporting manager as per schedule.
  • Allocation of workstation to the employees.
  • Cost Control on all possible area
  • Monthly guest house inspection and audits.
  • Maintain Attendance of HK & Security personnel.
  • Weekly Reconciliation of Access Badges.

 

  1. Facility Management
  • Arrangement vehicle for guest from our empanel travel agency to pick-up and dropping, for client visit etc.
  • Guest house arrangement, hotel booking for guest.
  • Arrangement of cafeteria materials and House Keeping materials in the office.
  • Newspaper and magazine arrangement.
  • Stationery items to the employees as per requirement.
  • Daily Courier Tracking.
